Company N’s Content Acquisition & Enrichment Platform (CAEP) ingested as many as one million articles per day from more than 1,700 content providers, automatically extracting people, companies, dates, locations, events, and sentiment to enrich every article with metadata that powered search and personalization across the company’s products. In November 2012, Company N launched a multiyear program to modernize this platform — but found that the legacy system had no reliable documentation, with institutional knowledge concentrated in the heads of a small group of technical staff and a handful of high-level presentations.

Iknow was selected to provide business consulting, technology consulting, and systems integration services for the initiative, beginning with the foundational work the modernization program could not proceed without: a complete, accurate, current-state description of the platform. Iknow cataloged and modeled all 46 major CAEP components, producing standardized text descriptions, IDEF0 functional models, and detailed information flow maps. The resulting documentation became Company N’s single source of truth for every subsequent phase of its platform modernization program.

Company N is a leading global provider of business news and information. Company N aggregates content from more than 30,000 licensed and free sources spanning some 200 countries and dozens of languages, delivering research, monitoring, and risk and compliance data to enterprise customers worldwide. The accuracy and richness of the metadata attached to every incoming article is foundational to nearly all of these products.

Industry Context

Structured, well-governed content metadata has only become more strategically important for business information providers since this engagement. Company N has since expanded into a licensed content marketplace serving thousands of publishing partners and has launched generative AI products that depend on reliably tagged, high-quality source content. Across the media and information services sector, providers that can reliably document, govern, and evolve their content-processing infrastructure are best positioned to build the retrieval-augmented and generative AI products that customers increasingly expect — making rigorous system documentation a strategic asset rather than a back-office exercise.

Current Situation

When Iknow began its assessment, most CAEP components had no documentation whatsoever. What existed lived in the memory of a handful of technical staff and in a few high-level PowerPoint presentations. Company N could not responsibly plan, scope, or fund a multiyear modernization program for a business-critical platform it could not fully describe — a gap that had to be closed before the broader upgrade program could proceed with confidence.

  • Undocumented, business-critical infrastructure. CAEP’s 46 major components — spanning content acquisition, object processing, normalization, and distribution — had never been formally cataloged, leaving Company N without a reliable technical reference for a platform central to nearly every product it sold.
  • Knowledge concentrated in too few people. Institutional understanding of how CAEP’s components actually worked resided with a small number of technical staff, exposing Company N to significant risk from staff turnover during a multiyear modernization program.
  • No common reference for program planning. Without accurate documentation, Company N’s leadership had no consistent basis for scoping, sequencing, or estimating the cost and risk of the platform’s subsequent modernization phases.

Iknow structured the engagement as a systematic, component-by-component documentation effort. Rather than attempting to document the platform as a single undifferentiated system, the team divided CAEP into its major functional areas, assigned dedicated consultants to each, and applied a consistent documentation standard across all of them — ensuring the final product was not a collection of disconnected notes but a coherent, navigable reference.

With no existing documentation and 46 components to cover, Iknow could not rely on a single team working sequentially through the platform. The team addressed this by assigning consultants to major functional areas in parallel, each running a structured interview program with the relevant technical experts, so that documentation of the entire platform could be completed within a practical timeframe.
